JOB SUMMARY:
The primary purpose of the Central Supply Coordinator job position is to order, receive, stock and provide supplies and equipment in an efficient manner and to maintain a current and accurate inventory of supplies.
JOB DUTIES AND RESPONSIBILITIES:
Administrative Functions

  • Provide for adequate, smooth and accountable storage, inventory and dispensing of all nursing and medical supplies
  • Keep an accurate inventory of necessary supplies and maintain an organized, neat storage area
  • Order supplies and equipment
  • Accept and evaluate bids from suppliers and recommend purchases to the Administrator and/or the Director of Nursing
  • Ensure all purchase orders are properly prepared, signed and submitted as required
  • Verify terms of shipping and payment with vendors
  • Review deliveries and verify invoices for completeness and accuracy and forward to business office for payment
  • Maintain accurate and organized records that show accountability for all supplies and that are in compliance with federal, state, local and facility regulations
  • Prepare correspondence and claims concerning damaged merchandise, errors in shipment, etc., and return items to vendor as required
  • Review complaints and make necessary oral/written report to the Administrator
  • Assist in developing methods for determining quality and quantity of supplies and equipment purchased
  • Ensure storage instructions are complied with on merchandise received
  • Date and rotate perishable goods
  • Dispense and distribute supplies to all areas as requested or necessary
  • Ensure various departments are properly charged with supplies and equipment they have received for cost allocation purposes
  • Keep current names, addresses and phone numbers on all medical, nursing, consultants and other supply related personnel for ready reference
  • Schedule appointments and meet with salespersons as necessary or instructed
  • Obtain necessary approval for purchasing major equipment from facility Administration and/or Home Office as required
  • Prepare forms and reports as needed or requested
  • File forms and reports as needed
  • Maintain proper documentation of charges to patients for supplies as used
  • Ensure that vendors provide appropriate material safety data sheets (MSDS) in accordance with current OSHA regulations and the facility's policies and procedures. Report any problems to the Administrator Committee Functions
    • Serves on various committees of the facility as requested by the Administrator or Director of Nursing
    • Evaluate and implement recommendations from the facility's committees, as they pertain to the central supply area
    • Meet with administration, medical and nursing staff as well as other related departments in planning purchasing, storage and dispensing activities
    • Assist the Quality Assessment and Assurance Committee in developing and implementing a quality assurance program for central supply Personnel Functions
      • Develop and maintain a good working rapport with all department personnel to assure that central supply procedures meet the needs of the facility
      • Interpret central supply policies and procedures to facility staff as necessary
      • Maintain and excellent working relationship with the medical profession and other health related facilities and organizations
      • Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment throughout the department Safety and Sanitation Functions
        • Attend and participate in annual OSHA and CDC inservice training programs
        • Report all hazardous conditions/equipment to the administrator immediately
        • Report all accidents/incidents in accordance with established policies and procedures. Fill out and file reports as directed
        • Assure that all storage areas are clean and properly arranged at all times
        • Ensure that department personnel follow established procedures regarding the use of labels and MSDS requirements Budget and Planning Functions
          • Assist in the development of all department budgets as requested Resident Rights Responsibilities
            • Maintain confidentiality of all pertinent resident care information to assure resident rights are protected, including the right of refusal
            • Knock before entering a resident's room Working Conditions
              • Works in office and storage areas as well as throughout the facility
              • Moves intermittently during work hours
              • Is subject to frequent interruptions
              • Is involved with salespersons, vendors, residents, personnel, visitors, government agencies/personnel, under all conditions and circumstances
              • Is subject to hostile and emotionally upset residents, family members, personnel and visitors
              • Communicates with the medical staff, nursing personnel and other department supervisors
              • Works beyond normal working hours and in other positions temporarily, when necessary. Works on weekends and holidays when necessary
              • Is subject to callback during emergency conditions
              • Attends and participates in continuing educational programs
              • Is subject to exposure to infectious waste, diseases, conditions, etc. including TB and the AIDS and Hepatitis B viruses
              • Is subject to injury from falls, burns from equipment, odors, etc., throughout the workday, as well as to reactions from dust, plastics, synthetics, disinfectants, tobacco smoke, and other potential contaminants
              • May be exposed to hot/cold temperatures in storage areas
              • May be subject to the handling of and exposure to hazardous chemicals Staff Development Functions
                • Assist in the development of and participate in programs designed for orientation of new associates and inservice education for facility staff as it relates to the central supply area
                • Demonstrate new products and equipment for facility personnel as requested
                • Keep abreast of economic conditions/situations and recommend adjustments to assure the continued ability to provide quality resident care at the lowest possible cost
                • Attend and participate in workshops, seminars, etc., to keep abreast of current changes in the health care field and maintain a professional status Safety and Sanitation Functions

                          Education
                          • Must possess a high school diploma or GED
                          • Some business education preferred Experience
                            • Must have a minimum of six (6) months of experience in a health care environment
                            • Must be have a working knowledge of purchasing, inventory control, purchase orders, invoices, accounting, bills of lading
                            • Must be familiar with both DOS and Windows computer environments
                            • Must have general office and clerical skills
                            • Must have excellent communication and interpersonal skills
                            • Must possess a practical knowledge of medical terminology and record keeping
                            • Must be organized and detailed in work performance Specific Requirements
                              • Must be able to read, write, speak and understand the English language
                              • Must display professionalism both in appearance and attitude
                              • Must possess the ability to solve problems and make independent decisions when circumstances warrant such action
                              • Must genuinely care for and understand the elderly and disabled
                              • Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agency personnel and the general public
                              • Must possess the ability and the willingness to work harmoniously with other personnel
                              • Must have patience, tact, a positive disposition and enthusiasm, as well as the willingness to handle difficult people
                              • Must be knowledgeable of laws, regulations and guidelines pertaining to nursing home operation
                              • Must possess the ability to examine and verify purchase orders, bids, cost reports, etc
                              • Must not pose a direct threat to the health or safety of other individuals in the workplace
