Position: Clinic Switchboard
Department: Sunflower Rural Health Clinic
Hours: Full-Time Day Shift - including every other weekend
8am - 6pm
Summary:Provides direct and indirect communication for the clinic. Will communicate effectively with staff, patients and visitors by phone, in person, in writing and by email. Will be responsible for overall needs and function of the front desk/switchboard area. Will be able to multi-task and communicate effectively.Job Duties & Responsibilities:

  • Provides excellent service to our customers following the Sunflower Rural Health Clinic core values, Sunflower Rural Health Clinic customer service standards and behavioral expectations.
    • Maintains confidentiality according to HIPAA guidelines at all times.
    • Job task for switchboard:
      • Operate communication systems, such as telephone, switchboard, intercom, two-way radio, or public address.
      • Answer incoming calls, greeting callers, providing information, transferring calls and/or taking messages as necessary.
      • Route emergency calls appropriately.
      • Page individuals to inform them of telephone calls, using paging and interoffice communication equipment.
      • Relay and route written and verbal messages.
      • Place telephone calls or arrange conference calls as instructed.
      • Perform clerical duties, such as typing, proofreading, accepting cash and credit card payments, changing addresses, sorting mail and maintaining cash drawer.
      • Contact security or administrative staff members when emergencies arise by telephone.
      • Maintain copier and fax machine.
        • Patient Relations
          • Answers telephones, triages messages and schedules patients appointments.
            • Will call the patient and remind patient of upcoming appointments.
              • Will call the patient and attempt to reschedule any missed or cancelled appointments.
                • Performs patient "check in" process including registers new patients, updating of demographic and insurance information, as needed.
                  • Performs patient "check out" process including collection of payments.
                    • Assists patients and responds to all requests for assistance and information using a professional manner, as needed.
                      • Creates, updates, and maintains medical records per Sunflower Rural Health Clinic and practice/clinic policies as needed.
                        • Financial/Insurance Preparation
                          • Assists with end of day/month reconciliation and financials for the practice/clinic.
                            • Analyzes requests for review or reconsideration when payment is inadequate or inappropriate.
                              • Collaborates with administrator and billing department for resolutions of accounts.
                                • Revises and maintains financial records mandated by facility policy.
                                  • Prepares account information for litigation.
                                    • Provides supportive documentation for claims management.
                                      • Assists with specialized insurance forms.
                                        • Provides Patient, Staff, and Customer Safety
                                          • Creates a work environment that promotes safety for patients, staff, and customers.
                                            • Reports any safety concern or near miss on the appropriate report form.
                                              • Maintains awareness of safety at all times.Other Job Functions
                                                • Serves as backup for other office staff as needed.
                                                • Expands and maintains professional knowledge/skills through continuing education.
                                                • Responds to all environmental safety factors.
                                                • Provides team support to staff.
                                                • Attends required meetings, serves on committees as requested, and assists with special projects.
                                                • Participates with performance improvement activities.
                                                • Interacts with patients and fellow team members with a focus on service excellence and Sunflower Rural Health Clinic values.
                                                • Projects a courteous and professional demeanor.
                                                • Remains current with and adheres to all Sunflower Rural Health Clinic policies, standards of conduct and all regulatory guidelines.
                                                • Compiles and maintains practice/clinic logs, records, reports, and stats, as assigned.
                                                • Maintains clean and orderly work area.
                                                • Performs other duties as assigned.Working Conditions
                                                  • Office setting with no substantial exposure to adverse environmental conditions.
                                                  • Frequent contact with physicians, staff, patients and the public.
                                                  • Occasionally exposed to disoriented or agitated clients.
                                                  • Frequent pressure due to multiple priorities, organizational growth and diversity.
                                                    • Assignment requires overtime and/or non-standard work hours, as needed, to meet job standards/expectations.Minimum Qualifications/RequirementsPhysical and Mental Requirements
                                                      • Must be sufficiently mobile to access multiple data sources.

                                                      • Must have the ability to communicate effectively and efficiently with patients, peers, superiors, and others on a one-on-one basis using appropriate vocabulary, grammar, and word usage.

                                                      • Must have clinical perception is necessary to proofread materials, to index/file documents, and to organize office operations in daily work.
                                                      • Must have precision and attention to detail, skills to handle multiplicity assignments and accurate medical computations with a high degree of accuracy.
                                                      • Must have the ability to work under stressful and/or emergency/crisis situations with high concentration and energy levels.
                                                      • Must have normal range of hearing, vision and manual dexterity.
                                                      • Must have the ability to sit or stand for long periods of time; some stooping and bending are required.
                                                      • Must have the ability to occasionally lift and transport items (i.e., files, supplies) weighing up to 50 pounds.
                                                      • Must have skills in gathering information, interpreting needs and preparing recommendations relating to professional billing requirements.Education
                                                        • High school diploma or equivalency required.
                                                        • One-year office experience including phones and typing required or an equivalent combination of educational experience from which comparable job knowledge could be acquired.
                                                          • Medical office setting experience preferred.
                                                          • Preferred knowledge in ICD-10 and CPT coding.Other Skills and Knowledge
                                                            • Skills in mathematical calculations, understanding of financial analysis terms; basic financial skills.
                                                            • Knowledge of healthcare administration and medical terminology is desirable.
                                                            • Strong organizational skills.
                                                            • Proficiency in computer skills and of office equipment operations, with ability to learn new software applications.Benefits Include
